Booking and Payment Terms
When the quote has been accepted a 20% deposit of the quote needs to be paid to secure your booking. Bookings are minimum 5 nights for peak nights.
Your booking is confirmed when:
- Credit card (Visa and Mastercard only) has been approved – a payment surcharge of 3% applies.
- Direct debit verification has been sent to us or monies have been accepted in our account – all bank charges known as “correspondent charges” are to be paid by the sender. This is the responsibility of the customer.
At this time we will require names and addresses of all customers along with child ages if any.
On receipt of payment a receipt and booking summary will be issued.
Final payment is due no later than 60 days prior to guest’s arrival.
On receipt of your final payment you will receive your hotel voucher, booking summary (which includes transfers and extras details if purchased) and receipt. Extras purchased including Lifts, Rentals, Tours and Lessons will be presented to you in a “Welcome Envelope” at the hotel upon check in.
Any bookings made within 60 days of arrival require 100% payment.
*NB: Non-payment of deposit or final balance may lead to automatic cancellation. Payment of a deposit constitutes acceptance of our booking terms and conditions.
Please note all transactions are converted to Yen unless stated otherwise.
If cancelling more than 60 days prior to arrival, a cancellation penalty of 20% of invoice total (loss of deposit) will be retained by Snowbeds Japan Pty Ltd (Hakuba Echo Hotel parent company).
If cancelling between 60 days and 15 days prior to arrival, then a penalty of 50% of booking invoice total will be retained by Snowbeds Japan Pty Ltd as cancellation penalty.
If cancelling between 14 days and 8 days prior to arrival, then a penalty of 80% of booking invoice total will be retained by Snowbeds Japan Pty Ltd as cancellation penalty.
If cancelling less than 7 days prior to arrival, then a penalty of 100% of booking total will be retained by Snowbeds Japan Pty Ltd (parent company) as cancellation penalty.
Snowbeds Japan Pty Ltd shall not be liable in case the booked services are not available due to the occurrence of any event beyond its reasonable control including, but not limited to, operation of laws, regulations and orders, war, riots, strikes, accidents, explosion, snowstorms, fires, earthquakes, epidemic, flood, typhoon or other natural disasters, supplier bankruptcy, or any other similar cases.
Amendment fees – these are charged if amendments are made to bookings (eg change of dates or decreasing numbers of people travelling).
Any amendment to a booking (eg change to dates of travel) could incur a 4,000 yen total charge per change. Date changes can only be made (subject to availability) within the same season should the client wish to change their booking. Bookings are minimum of 5 nights so reduction less than 5 nights will incur the cost of the extra nights not used.
If an amendment involving a reduction in the number of persons travelling occurs at any time the above cancellation penalties and terms apply to the person who is cancelling. The package price for the remaining persons will be amended accordingly.
Snowbeds Japan Pty Ltd reserves the right to cancel any booking at any time due to anti-social, drunken or unruly behaviour by guests. There will be no refunds in such cases.
Private Coach and Shared Minivan Transfers from the airport along with private Nagano Station transfers are booked to the time nominated by the client. We require one month minimum notice of your train times and two months minimum notice of your plane times to guarantee your transfer for your nominated time. Failure to meet your transfer is the responsibility of the client. No refund is given for missed transfers. Transfer time changes are not guaranteed.
Shared airport coach transfers. Where possible, Nagano Snow Shuttle services will wait for delayed flights. However, the situation may arise where; in the interests of other passengers waiting for a delayed flight is not possible. The decision on whether to wait for a delayed flight is at the sole discretion of JHN Travel Ltd. There is no refund for passengers who miss their Nagano Snow Shuttle connection due to flight delays. Passengers who miss connections due to flight delays may travel on a stand-by basis (i.e. subject to seat availability) on the following day.
Lift Tickets, Rentals, Lessons
Any unused vouchers for Lifts, Rentals and Lessons will not be refunded.
Snowbeds Japan Pty Ltd strongly recommends you purchase travel insurance.
Agreement between Customer and Snowbeds Japan Pty Ltd
This website is offered to you, the customer by Snowbeds Japan Pty Ltd. Your use of this website and/or your acceptance without modification of the terms, conditions, and notices contained herein constitutes your agreement to all such terms, conditions, and notices. If you do not agree with these terms and conditions then you are not authorised to use this website.
Personal and Non-Commercial Use Limitation
This website is for your personal and non-commercial use. You may not modify, copy, distribute, transmit, display, reproduce, publish, license, create derivative works from, transfer, or sell any information obtained from this website.
The information and services published on this web site may include inaccuracies or typographical errors. Changes are periodically added to the information herein. Snowbeds Japan Pty Ltd, its affiliates and/or its respective suppliers may make improvements and/or changes in this website at any time.
No Unlawful or Prohibited Use
As a condition of your use of this website, you warrant to Snowbeds Japan Pty Ltd that you will not use this website for any purpose that is unlawful or prohibited by these terms, conditions, and notices.
Modification of these Terms and Conditions
Snowbeds Japan Pty Ltd reserves the right to change the terms, conditions, and notices under which this website is offered.
